Synergic Swift Publication Private Limited (“we”, “us”, “our”) is a publishing house. We publish books of every kind — school and study books, and academic, professional, literary and cultural titles — and sell them through this website (https://www.synergicswiftpublication.com). We also offer publishing services to authors, review manuscripts, handle rights and translation enquiries, organise literary events and workshops, and recruit staff. This Privacy Policy explains, in plain language, what personal data we collect, why we need it, who we share it with, how long we keep it, and how you can control it.
It is our notice under section 5 of the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and Rule 3 of the Digital Personal Data Protection Rules, 2025 (“DPDP Rules”), and our privacy policy under the Information Technology Act, 2000 and the rules made under section 43A of that Act. Each form on our website also shows a short notice that summarises the relevant part of this policy and links back to it.

Records of your consent
What we collect: your email address or phone number, the purposes you agreed to, the version and language of this notice you were shown, the form you used, whether you confirmed that you are 18 or older, the date and time, your browser type, and your IP address in a one-way hashed (pseudonymised) form.
Why we use it: the DPDP Act requires us to be able to prove that you gave consent (section 6(10)) and to respect your choice if you withdraw it.
Cookies and analytics
We use cookies that are strictly necessary for the website to work and, only if you allow them, analytics cookies that record usage statistics such as pages visited, device type and approximate location. Our Cookie Policy explains them.
To run the website securely we also process technical data: IP addresses (which we store only in one-way hashed form, for spam and abuse protection), browser type, the pages requested, and the date and time. Our hosting provider’s servers keep standard technical logs.
Testimonials
We publish a testimonial (the person’s name, role, school or organisation, city, photo and comments) only with that person’s written consent. They can ask us to remove it at any time.
What we do not collect
- We do not collect card numbers, CVV, UPI PINs, net-banking passwords or OTPs. Our payment gateway collects them directly on its secure checkout.
- We do not ask the public for Aadhaar numbers, health information, biometric data or other sensitive information. Please do not include such information in your messages, manuscripts or CVs.
- We do not buy personal data from anyone.
- We do not sell personal data or use it for targeted advertising.
Children’s personal data
Some of our books are written for children, but this website is meant for adults: readers, parents, teachers, schools, authors, applicants and distributors. You must be 18 or older to submit a form, create an account, register for an event, apply for a job or place an order, and our forms ask you to confirm this. If you are buying books for your child, we only need your details, not your child’s.
Under the DPDP Act, a child is anyone under 18. A child’s personal data may be processed only with the verifiable consent of a parent or lawful guardian (section 9 and Rule 10). We do not offer that verification process, so we do not knowingly collect personal data from children. If you believe a child has sent us personal data, please contact us and we will delete it. If we ever offer something meant to be used directly by children, we will first put in place the verifiable parental consent process that the DPDP Rules require.
The same protection applies to a person with a disability who has a lawful guardian: we act on the guardian’s verifiable consent (Rule 11).
We do not track or monitor the behaviour of children, and we do not direct targeted advertising at children.
Our legal basis, including legitimate uses
| Legal basis | When we rely on it |
|---|---|
| Your consent (section 6) | Enquiries, publishing and rights enquiries, resource downloads, manuscript submissions, event registrations, job applications, customer accounts, the newsletter, emails about new books and analytics cookies. You give it by a clear action, such as ticking a box that is not ticked in advance, with one box for each purpose that is optional. We never use pre-ticked boxes. |
| Data you give us for a specific purpose (section 7(a)) | When you place an order and give us your details to complete it, we use them for that order, unless you tell us that you do not consent to that use. We also record your consent at checkout. |
| Disclosures the law requires (section 7(d)) | When a law obliges us to give information to the government or one of its agencies, for example to tax and GST authorities, we share only what that law requires. |
| Judgments and orders (section 7(e)) | To comply with a judgment, decree or order of a court or other authority. |
| Records we must keep by law (sections 8(7) and 12(3)) | Tax, GST, accounting and company laws require us to keep our books of account, bills and related records for set periods. We keep those records, and only the personal data in them that is needed, even if you withdraw consent or ask us to erase your data. |
Our own employees’ records are processed for employment purposes (section 7(i)) and are covered by a separate notice that we give to our staff.
How to withdraw your consent
You can withdraw your consent at any time, and doing so is as easy as giving it:
- Newsletter and emails about new books: use the unsubscribe link in any such email, or write to us.
- Analytics cookies: open “Cookie settings” on our website and switch them off.
- Customer account: delete your account from the privacy centre in your account, or ask us.
- Manuscript submissions and job applications: write to us with the reference number we gave you; we stop the review and delete your files.
- Anything else: use our privacy request form, or email support@synergicswiftpublication.com from the email address you used with us.
When you withdraw consent, we and our service providers will stop processing your personal data for that purpose within a reasonable time (section 6(6)). Withdrawal applies only to the purpose you withdraw, and it does not affect anything we did lawfully before it (section 6(4)). We may still keep some data where the law requires it, such as order and invoice records. If you withdraw consent for an enquiry that is still open, we may not be able to complete it.
Your rights
Under the DPDP Act, you have the right to:
- Access (section 11): get a summary of the personal data we hold about you and how we use it, and the identities of the other Data Fiduciaries and Data Processors we have shared it with, with a description of what was shared;
- Correction, completion, updating and erasure (section 12): ask us to correct inaccurate or misleading data, complete incomplete data, update it, or erase data that we no longer need, unless the law requires us to keep it;
- Grievance redressal (section 13): complain to us about how we handle your personal data and receive a response;
- Nomination (section 14): nominate another person to exercise your rights if you die or become unable to do so.
How to make a request
- If you have a customer account, you can download your data, correct it and delete your account from the privacy centre in your account.
- Otherwise, fill in our privacy request form, or email support@synergicswiftpublication.com with the subject “Privacy request”. You can also call us on +91 92772 52865 or write to us at our postal address.
- Tell us which right you want to use. Include the email address or mobile number you used with us and, if you have one, your order number or reference (enquiry, submission or application). These identifiers help us find your data (DPDP Rules, Rule 14).
- Before we give you a copy of your data or erase it, we confirm that the request comes from you, usually by contacting you on the email address or phone number we already hold. We will not ask for more information than we need to do this.
- We will give you a reference number and keep you informed.
We will acknowledge your request within 48 hours. We respond to requests about your rights within 90 days of receiving them, and resolve complaints (grievances) within 30 days of receiving them. These periods are within the limits set by law: one month for complaints under the Consumer Protection (E-Commerce) Rules, 2020, and 90 days under Rule 14(3) of the DPDP Rules. Every reply includes the contact details of our Grievance Officer. If we cannot do what you ask, for example because the law requires us to keep certain records, we will explain why.
Your duties
The DPDP Act (section 15) asks you not to impersonate anyone, not to hide important information when giving us your personal data, not to file false or frivolous complaints, and to give only authentic information when you ask us to correct or erase data.
Who we share your data with
We share personal data only as needed for the purposes described above. We never sell it. These are the categories of recipients:
| Recipient | What they do for us | Data they receive |
|---|---|---|
| Payment gateway (a payment aggregator regulated by the Reserve Bank of India) | Processes your payment on its secure checkout | Your name, email address, phone number, the amount and the order reference; you enter your payment details directly with the gateway |
| Courier and delivery partners | Deliver your order | Your name, delivery address and phone number |
| Website hosting provider | Runs our website and stores our database, uploaded files and server logs | All the data described in this policy, stored on its servers |
| Email service providers | Host our mailboxes and deliver the emails we send, such as order updates and newsletters | Your name, email address and the content of the emails |
| Analytics provider (only if you allow analytics cookies) | Produces website usage statistics | Usage data from analytics cookies |
| Professional advisers, such as our chartered accountant, auditors or lawyers | Advise us and audit our accounts, under a duty of confidentiality | Only what they need, when they need it |
| Government authorities, regulators, courts and law-enforcement agencies | Exercise their powers under law | Only what the law requires or permits |
Service providers that process data on our behalf (Data Processors) may use it only on our instructions and under a contract with us (section 8(2)). We keep a register of them, and you can ask us for the names of the service providers with whom we have shared your data (section 11).
Where your data is stored and transfers outside India
Our website, database and uploaded files are run by our hosting provider. Some service providers, such as email or analytics providers, may store or process data outside India. We transfer personal data outside India only as the DPDP Act allows: the Central Government can restrict transfers to particular countries (section 16 and Rule 15), and we follow any such restriction. You can ask us where a particular service provider processes your data.
How long we keep your data
| Data | How long we keep it |
|---|---|
| Enquiries and requests (including publishing, rights and resource requests) | While we deal with your enquiry. Once it is closed, we remove your name, contact details and message when the enquiry is more than 24 months old. |
| Event registrations | Kept until you ask us to delete them or the purpose ends. We will publish a specific period here. |
| Manuscript submissions and their files | While we review your submission. If we decline it or you withdraw it, your files and details are kept until you ask us to delete them or the purpose ends; we will publish a specific period here. If we agree to publish your work, we keep what our contract with you needs. |
| Job applications and CVs | Kept until you ask us to delete them or the purpose ends. We will publish a specific period here. If you allowed us to keep your application for other openings, we keep it for that purpose until you withdraw that permission or ask us to delete it; we will publish a specific period here. If you join us, the information becomes part of your employee records. |
| Customer accounts, saved addresses and wishlist | Until you delete your account. We will publish here the period after which an account that is not used is closed. |
| Sign-in records and sessions | A session ends when you sign out or it expires. Records of sign-in attempts are deleted after 90 days. |
| Paid orders, invoices and payment records | As long as tax, accounting and consumer-protection laws require (for example, GST law). If you ask us to erase your data earlier, we remove your name, contact details and address and keep only the financial details the law requires. |
| Unpaid or failed orders | Deleted 90 days after the order was started, unless a payment was received. |
| Newsletter subscription | Until you unsubscribe or ask us to delete it. After you unsubscribe, or if you never confirm your subscription, your email address is deleted after 30 days. |
| Consent records | For as long as we use the data they cover. When that data is deleted, we also remove your contact details from the consent record and keep only what the consent was for, the notice version and the date, as proof. We will publish here how long that proof is kept. |
| Privacy requests and complaints | As long as needed to deal with them and to show how we handled them. |
| Security and audit logs | 12 months, and then deleted unless another law requires us to keep them longer. The DPDP Rules require such logs to be kept for at least one year (Rules 6 and 8). Our hosting provider keeps its own server logs under its policies. |
| Testimonials | Until the person asks us to remove it. |
When the purpose is over, we delete the data or anonymise it so that it can no longer identify you, and we ask our service providers to do the same (section 8(7)). Where a period has not been fixed yet, we keep the data no longer than we need it for its purpose, and you can ask us to delete it at any time.
How we protect your data
We use reasonable security safeguards, as required by section 8(5) of the DPDP Act and Rule 6, including:
- encryption (HTTPS) for every page, so data travelling between your browser and our website is protected;
- payment details handled only by our payment gateway; we never store card data;
- manuscripts, CVs and contract documents kept in private storage that is never served on the public website;
- IP addresses stored only as one-way keyed hashes, and passwords stored only as salted hashes;
- staff access to personal data limited by role, protected by login limits, and recorded in an audit log, including every export and erasure;
- backups, so that data can be restored if something goes wrong;
- logs that help us detect, investigate and fix unauthorised access, kept for at least one year;
- contracts that require our service providers to protect personal data.
No system can be completely secure, but we work continuously to prevent breaches and to limit their impact.
If there is a personal data breach
If a personal data breach affects you, we will tell you without delay, by email or phone. We will explain what happened, when and where, the likely consequences for you, what we are doing about it, what you can do to protect yourself, and who you can contact (Rule 7(1)).
We will also report the breach to the Data Protection Board of India without delay, followed by a detailed report within 72 hours of becoming aware of it (Rule 7(2)), and to CERT-In where the law requires. We keep a record of every breach and what we did about it.
Cookies
We use cookies that are strictly necessary for the website to work and, only if you agree, analytics cookies. Read our Cookie Policy to learn more and to change your choice.
Complaints to the Data Protection Board of India
If you are unhappy with how we have handled your personal data, please contact our Grievance Officer first (details above). The DPDP Act asks you to use our grievance process before approaching the Board (section 13(3)).
If you are not satisfied with our response, or we do not respond in time, you can complain to the Data Protection Board of India. The Board functions as a digital office, and you can file a complaint online using the process it publishes.
Changes to this policy
We may update this policy when our practices or the law change. The version and effective date are shown at the top. If a change materially affects how we use personal data you have already given us, we will tell you, by email where we have your address, and ask for your consent again where the law requires it.
